Invoices Search

Use the Invoices Search page to locate invoices that match specific criteria. IPP limits the invoices search to the Disburser user’s ALCs and group assignment for Business Unit, Cost Center, or Department ID.

 

To search for an invoice:

  1. From the Invoices tab, click the Search sub-tab.

  2. Enter any of the following information:

  3. From the Change Date Range list, select:

  1. Click Query.

  2. Click Download to export the result to a spreadsheet program.

 

Results:

Field Name

Description

ALC

Agency Location Code of the agency receiving the goods or services from a vendor

Supplier

Name of the vendor that originated the invoice for the goods or services

Click to view the vendor record

CM (Credit Memo)

CM icon displays when the invoice is a credit memo; otherwise, it is an invoice.

Invoice #/Credit Memo

Number assigned to the invoice by the vendor or Disburser Self-Service user.

Click to view the invoice and perform Workflow tasks, if applicable.

PO#/Blanket PO#

PO number associated with the invoice

Click to view the details of the PO.

Note: If the invoice was created without an associated PO, IPP displays: No IPP PO.

Contract #

Number assigned to the contract by the agency.

Invoice Date

Date the vendor or Disburser Self-Service user issued the invoice

Due Date

Date that payment is due for the invoice

Scheduled Pay Date

Date when the invoice is scheduled to be paid.

If the agency uses Workflow and the invoice has not completed routing or the agency rejected the invoice, the column has no date.

Amount

Amount of the invoice

Status

Status of the invoice, such as:

  • Scheduled to Pay

  • Received

  • Rejected

  • Denied

  • Voided

  • Exception

Routing Status

Workflow Users: Displays the routing status of the invoice.
